ProScheduler Improvement and Misc Issue Resolutions

This 11-28-2011 release adds enhancements to ProScheduler and resolve misc speed issue with several routines. As we prepare to release CleanOpsStaff-3ed for the new APPA book, we are preparing to lock down future changes to the Old CleanOpsStaff. All future enhancements will be applied to CleanOpsStaff-3ed only when it is released.
In the meantime you should download this latest release to ensure you have the latest application.

 

Excel 2003 Version Audit Package Sorting Issue Resolved (download latest release required)

  • For users running under Excel 2003, the 'sort by room number' routine did not function properly when creating a audit packing containing more than one floor. The 'sort by room number' routine is invoke when you check the 'sort by room number' checkbox inside the 'Make Audit Package' button.
  • This issue has been resolved in the latest release. It is strongly recommended that ALL user get the latest release even if you do not use Excel 2003.
 

Check for Duplicate Records Routine Improved (download latest release required)

  • The routine for checking for duplicate records has been improved. Since checking for duplicate record can take a bit of time for large inventory files, you can now abort checking while the checking routine is running by clicking on the progress button.
  • Since the audit package does not work properly if you have duplicate records, a prompt has been added to allow you to check for duplicate record before making the audit package.

ProScheduler, Audit Package and Local Category Maker Issue Resolved (download latest release required)

  • When using the Local Category Maker, you may enter cleaning activity names in the 20 input boxes provided. In the previous release, if you accidently include a trailing space in the activity name, the ProScheduler routine failed to operate properly when attempting to include activity names with a trailing space. The Make Audit package routine might also fail to properly handle room with activities with a trailing space. The latest release resolves this issue.

ACTION TO REMOVE TRAILING SPACE IF YOU HAVE ANY:

  1. Download and install latest release
  2. If ProScheduler or the Make Audit Package routine fails to run properly and you have local categories, then go the Local Category Maker.
  3. Read each local category into the local category maker form (use the 'Read from worksheet' button) and then write to worksheet (use the Write to worksheet' button)

 

Two CleanOpsStaff Audit Package Issues Resolved. Download Required.

Background

Over the recent several months Hunter Consulting and Training added a ‘Sort by Room’ checkbox to the ‘Make Audit Package’ feature in CleanOpsStaff. Additionally, we updated the LEED credits notice in the Audit Assessment Summary Worksheet Report to match the latest USGBC LEED V3 revision to the LEED Existing Building M&O manual. Two issues as described below were accidently introduced as a result of these changes. Both issues have been resolved in this latest release of (Program Manager -- release date 3/22/2011; Main Program -- release data 3/24/2011). We strongly recommend you get the latest release at http://hunterconsulttrain.com/GetLatestRelease.aspx to ensure your audit packages are being properly processed.

ISSUE 1: Audit Analyzer reads cleaning level as zero for audit packages created since the LEED revision of 2/3/2011

This enhancement accidently caused the Audit Analyzer to misread the average cleaning level as zero for audit packages when you click the ‘Report-Audit’ button in the Audit Analyzer. This new release will correctly read the cleaning level. No additional action is required by you after you get the latest release.

ISSUE 2: Audit packages sorted by space created since addition of the Sort by Room’ checkbox 8/19/2011

Under certain situations (but not all), in audit packages created in the ‘Sort by Room’ mode, a misalignment between the ‘Audit Instrument Report’ and the ‘Audit Assessment Population Report’ may occur causing the incorrect row to be highlighted in the ‘Audit Assessment Population Report’ when a space is scored in the ‘Audit Instrument Report’. In some cases this also causes a minor miscalculation of the weighted average cleaning level score.

Your Action for Issue 2:

1. Get the latest release at http://hunterconsulttrain.com/GetLatestRelease.aspx

2. Load your audit package files created since 8/19/2011

3. Navigate to the ‘Audit Assessment Population Report’ worksheet

4. Check to see how the records are sorted.

5. If the records are sorted by ‘Space Category’, then NO action is required

6. If the records are sorted by ‘Space’, then save the audit package under the same name (Click Save Audit Package button, then click then Save Audit button). This will permanently resolve the ‘Sort by Space’ Issue for the file.

NOTE: Step 6 is only required to be performed once for each affected file. Any file affected by Issue 2 will be permanently corrected after it has been loaded and saved. No additional action will be required when the file is load in the future.

 

Main Program New Release Date 2-3-2011

Audit Updated for LEED V3

  • The Audit Assessment Sheet in CleanOpsStaff has been updated to match LEED V3 revision.  Under LEED V3, you can now only earn 1 Credit for Cleaning Effectiveness (IEQ 3.2 - Green Cleaning--Custodial Effectiveness Assessment). An audit cleaning level score of 3 or less is required to earn this credit. Exemplary performance is available to facilities that score 2 or less in appearance level.
  • Instead of computing the one or two credits that was available under LEED V2, this new release includes comments in certain worksheet cells indicating this LEED V3 revision. Since the Audit Assessment Sheet can be exported to Excel and edited as needed, users with projects still under LEED V2 can still use CleanOpsStaff to create the Overall Appearance Level Analysis exhibit for your LEED submission.

 

 

Main Program New Release Date 2-3-2011

ProScheduler Revised -- Improved Tracking of Previously Scheduled Activities 

  • CleanOpsStaff ProScheduler "Mark Scheduled" and "Un-Mark Scheduled" features have been improved to provide more flexibility in creating weekly schedules and keeping track of which Project Activities has already been scheduled by previous weekly schedules.

  • Prior to this release you could only mark and un-mark all scheduled Project Activities that have already scheduled by a previous weekly schedule.
     

  • This release allows you to select which frequencies you wish to mark or unmark.  For example, (1) when creating a weekly schedule for a new month, you can now un-mark only the Monthly project activities so they would be performed in the first week of the new month;   (2) when creating a weekly schedule for a new quarter, you can now un-mark only the Quarterly project activities so they would be performed in the first week of the new quarter and so on.

12-21-2010 Audit Package Now Forces 10% of Total CSF

  • It has come to our attention that for some space inventories with many very small rooms such as large office buildings, the random audit package created by CleanOpsStaff will always generate an inspection list of 10% of the total spaces, but it might not reach 10% of total CSF.  For LEED submissions, the audit package must meet 10% of the spaces as well as 10% of total CSF.
     

 

  • This new release resolves this issue and ensures that both the 10% of spaces and 10% of total CSF will always be met for all random audit packages.

8-27-2010 New Enhancements 

1.      Additional of Two New Cleaning Frequencies:  Many questions have come in regarding using CleanOpsStaff to support Team Cleaning.  We have added Three Times Per Week (2/W) and Four Times Per Week (4/W) as cleaning frequencies you can select when adjusting the Standard Room Matrix and well as when making a local category matrix.  This will help support the Team Cleaning optional approach of performing routine activities four times per week, while performing detail activities one time per week and project activities on Friday.

2.      Team Cleaning Mode for Projects, and Team Cleaning Mode for Routine added to the ProScheduler:  The ProScheduler has been enhanced to add additional support for team cleaning in its automatic scheduling feature.  You can now set an option so that the ProScheduler will force all project activities to be scheduled for Friday during the automatic scheduling process.  You can now also independently set an option so that the ProScheduler will force all weekly activities to be scheduled for Monday, Tuesday, Wednesday, or Thursday leaving Friday free for project activities.

 

3.      ProScheduler, CleanOpsStaff-ProLocal and ISSA 540 Cleaning Time Coordination Issue Resolved: In some instances an extra space was being inserted in the name of the cleaning task from the ISSA 540 Cleaning Time dropdown list when making a local category. This extra space caused an issue with the ProScheduler when attempting to schedule task with the extra space in its name.  This issue is resolved in the latest release.

 

 

Time to Clean Calculation Issue Resolved 4-30-2010

 

We recently discovered that a minor formula error was cause an incorrect value to be displayed in the Macro Staffing and Inventory worksheet for Standard Space Categories Research Lab without Hazardous Waste and Office with Hard Floor.  While the totals were displayed corrected the Work Mode button display the incorrect value for Routine and Project. This issue has been resolved in Release Date 4-30-2010 of the Main Program. Get the latest Release to resolve the issue on your system.

Hunter Consulting and Training Announces Release of CleanOpsStaff-ProLocal. This Add-in upgrade will allow you to define 40 local space categories instead of just 15 and it will allow you to select cleaning activities/tasks and times from the ISSA 447 Times list within the same dropdown lists as the APPA activities times. April 27, 2009: Alert -- Weighted Average Calculation for Audit Package effective with the 4-27-2009 Main Program Release, the Space Weighted Average Cleaning Level (for LEED) in the Audit Assessment Worksheet now take into account the CSF of each space and the CSF of each cleaning category when weighting the inspection scores.  This method provide a better representation of the cleaning level being acheived by preventing spaces of difference sizes from having the same weight in the cleaning level calculation.

April 27, 2009: Alert -- Audit Package Listing the Classroom Appearance Items for all Categories after Loading an Audit File.   After loading an Audit file, the Make Audit Package feature would incorrectly assign the classroom appearance items to all categories in the Audit Instrument worksheet.  This was due to the fact that the load operation would overwrite an important function.  4-27-2009 Main Program Release resolves this issue.  Use the Get Latest Production button to download and extract the new files.

April 27, 2009: Alert -- Pro-Mobile Status/Info Issue Resolution, Earlier releases of the ProMobile-PDA would randomly clear out the CSF field and would also mis-calculate the CSF of un-inspected space.  4-27-2009 Main Program Release resolves these two issues.  You must get latest Production Release and re-install ProMobile onto you PDA from within the Program Manager.  

March 24, 2009: Alert -- The Standard Space Category number 13, "Office with Hard Floors" listed vacumning as the last routnine cleaning activity. This activity should have been "Sweep, dust-mop floors". This has been resolved in the current Production Version.

Feb 2009: Alert -- The Local Category number 11 was found to have an error in computing the FTE.  This has been resolved in the Beta Release.  If you are using the Production Release, please do not use Local Category 11.  This has been resolved in the current Production Version.

December 18, 2008: Resolved Sorting Issue with Audit Package:   
In releases prior to December 18, certain combination of room numbers and name containing special characters such as failed to sort correctly when making an Audit Package.  This sorting issue caused a mis-assignment of space category name to some of the spaces in the “Audit Assessment Population Report” worksheet and the “Audit Instrument”  Release 12/18/2008 resolves this issue. Note:  In the Building Name/Number, Floor Name/Number and Space Name/Number columns in the Macro Staffing and Inventory Worksheet, do not use characters "/", "-", "*", or names such as “187/234”,  “124-456”, “100e3”, “202E24” because Excel treats these formats a formula. You can use the underscore such as “187_234”, “124_456”, “100e_24”, or 202E_24.

 

December 16, 2008: Enhanced JustDoNext Import Wizard to allow for Importing a Range of Records From Anywhere in the Conversion Worksheet:   In releases prior to December 19, when sending records from the Conversion Worksheet to the Macro Staffing and Inventory Worksheet, you had to start with the first row in the Conversion Worksheet.  With this release, you can choose a range of row beginning with any row you wish.

 

December 12, 2008: Corrected coding issue with Customizing Standard Category Project Activities:  In releases prior to December 12, customization made to the Project Activities in the the Standard Categories Matrices were not being read back into memory when opening the Inventory Data File containing the customized Standard Categories Matrices.  The default values for the project activities would be read in instead for the Project Activities.  The Routine Activities were being handled correctly.  This issue resulted in an incorrect calculation for the Level C2 for Project activities after the data file was read back into memory.  Release 12/12/2008 corrects this issue.

 

December 12, 2008: Properly Center Main Menu Screen for Other Screen Resolutions:   CleanOpsStaff was originally designed to work best at 1024 x 768 and 1280 x 768 screen resolution.  The main menu did not center properly for other resolutions. Release 12/12/2008 properly centers the main menu for other screen resolutions.

 

December 12, 2008: Corrected Issue with JustDoNext Wizard which prevented Partial Import from Conversion Worksheet to Macro Staffing and Inventory Worksheet:   In releases prior to December 12, selective and partial importing of columns and row from the Conversion Worksheet to the Macro Staffing and Inventory Worksheet did not function properly.  Columns would be imported to the Macro Staffing and Inventory Worksheet even when their checkbox was not checked.  Additionally, users were forced to import all rows of data instead of a selected number of rows.  Release 12/12/2008 corrects these issues 

 

December 8, 2008: CleanOpsStaff QTicket Modified For Tab-Format Display:   Two butttons "Switch View" and "New Excel Spreadsheet") have been added to QTicket to make it easy to copy and paste Tab-Seperated data into an external spreadseet.  A horiznital bar and a Vertical Bar have been added to the upper left corner of the QTicket texbox to allw you to adjust the width and height of QTicket.  These will be the last enhancements for several months.  Users are asked to provide feedback on what furture features you would like to see.

 

November 24, 2008: CleanOpsStaff Startup and Audit Package Save issue resolved:   The Novemeber 23 Release of the Main Program had  corrupt configuration figuration file that prevented a proper CleanOpsStaff startup and prevented the ability to save an Audit Package.  This release corrects these two issues and you must get this release to prevent these issues from impacting your installation.

 

November 22, 2008: CleanOpsStaff Routines Optimized for More Speed/Resolved Issues With justDoNext Data Inport Wizard and QEntry Feature:   Download the latest release of CleanOpsStaff for faster operations.  Hunter Consulting and Training re-coded all CleanOpsStaff routines to speed up execution.  This release also resolves several issue with the justDoNext Data Import Wizard and the QEntry tool.   If you have already downloaded and installed CleanOpsStaff, use the "Get Latest Release" button in the Program Manager to download and extract the latest release. If you are download CleanOpsStaff for the first time, use the normal download links on this page.  You should never delete the two CleanOpsStaff folders ('C:\CleanOpsStaff Program Files' and 'C:\CleanOpsStaff Data') when downloading and extracting the latest release.  If you accidently delete the two folders, you will need to use your Product Code and Activation Key to reactivate CleanOpsStaff.

 

October 2008 - "Beta Release” has Data File Synchronization Capability:  You now have as many people as you wish work on different sub-sets of the CleanOpsStaff data file and  then use the justDoNext Data Import Wizard  to update records in the data file in memory base on records in the file being imported.  This is a helpful feature for allowing different people to collect inventory data on differrent laptops and then bring that data together in a single CleanOpsStaff Master file.  Feel free to download the Beta Release now if you wish by clicking Beta SiteAfter several weeks, the Beta release will become the Production Release.

 

October 2008 - "Get Latest Release "and "Get Latest Beta" Buttons Added: Hunter Consulting and Training adds "Get Latest Release" and "Get Latest Beta" buttons to the Program Manager to make it easier for you to download and install the latest Production Release or latest Beta Release!  You must download the latest release the "old fashion way" following the instructions on this web site to get a release with both button added. From then on you will simply click one of the buttons to download and install the latest Production Release or the latest Beta Release.

 

October 2008 - CleanOpsStaff Beta Site: Hunter Consulting and Training announces rollout of CleanOpsStaff Beta Site.   Now that CleanOpsStaff has been on the market for 3 months with 37 Colleges and Univeristies in the US and Canada  having purchased the program, Hunter Consulting and Training has made many enhancements and resolved issues brought forward by its users.  One of the value to our software distribution approach is it allows us to respond to user requested enhancements or issue resolution and upload a new releases immediately.  However, in order to stabilize the production release of CleanOpsStaff and to provide longer testing of enhancements, we have set up a Beta Site for users who want to take advantage of enhancements immediately.  Beta releases may be uploaded as often as weekly or as often as a signficant enhancement or issue is resolve.  We will try to limit production releases to no more than one per month usless there is a critical signicant issue requiring resolution.  Beta releases will become the Production Release when Hunter Consulting and Training is satisified that enhancements and issue resolutions have proven out.
